Passes, rates and codes
Offer a full pass, a single-day pass and a student rate, each with its own limit. Mark the full pass “Good every day” and it gets in once on each day of the conference, while a single-day pass gets in once. An early registration price applies until the date you choose, then the regular price takes over on its own. Promo codes take a percentage or an amount off, for groups, partners or speakers, and can apply only to the passes you pick.
Ask for each guest’s name, and ask each guest the questions that matter for them, like their organization, job title, dietary needs or which day they’re coming. Questions for the whole order, like whether the buyer needs an invoice for reimbursement, are asked once.
Exhibitor tables, sponsorships, the conference dinner and printed materials are simply more options on the page, each with its own price and limit.
A workshop for every guest
Group options under headings, like Thursday workshops or Dinner and extras, with a rule for how many each person chooses. When one person registers a team, every guest named on the order picks their own sessions.
Each workshop has its own number of places, and checkout counts them again before it charges, so a popular session never ends up with more people than chairs. If every workshop is full, guests can still register without one.
Each guest’s workshop is on their ticket, the receipt, the guest list download and the door app’s list, under their own name. The download has each guest’s answers too, ready for your badge printer.
Invoices and purchase orders
Turn on paying by invoice or purchase order for a page, and organizations can register now and pay later. Their places are held until it’s paid or your staff cancel it, and it isn’t counted as a sale until the money arrives.
The buyer gets an invoice email with a link to pay by card, and a reminder three days before it’s due. When a check or transfer arrives, your admins record it with its reference, and it posts to the finance export on the day it was paid.
Staff can also take a registration over the phone through the page’s own checkout, and send the invoice from there.
When plans change
Staff can change the name on a ticket, move a guest to another workshop or day that still has places, and refund the difference if the new choice costs less. Ticket codes stay the same, and the buyer is emailed what changed.
Everyone registered gets a reminder the day before, and you can email all your guests when a room or a time changes. At registration, staff and volunteers check people in with Gatehouse on their own phones, by QR code or by name.
Every payment, refund and chargeback carries your office’s GL code and fund, and lands in your college’s own bank account. Giving credit for attending? Send continuing-education certificates to everyone checked in.
Questions
Can each attendee choose their own workshop?
Yes. When one person registers several guests, each guest named on the order picks their own workshops, within the rule you set, and each workshop stops taking picks when its places are gone.
Can organizations pay by invoice or purchase order?
Yes. Turn on paying by invoice or purchase order for the page. Places are held until it’s paid, the buyer gets an invoice email with a link to pay by card, and your admins record checks and transfers when they arrive.
Can a full pass get in on every day of the conference?
Yes. Mark it “Good every day” and its QR code gets in once on each day of the conference. A single-day pass, or any ticket without the switch, gets in once.
Can we offer early registration and group rates?
Yes. Each pass can have an early price until a date you choose, and promo codes take a percentage or an amount off the passes you pick.
Can someone switch workshops after registering?
Yes. Your staff can move a guest to another workshop or day that still has places, or change the name on a ticket. The ticket code stays the same, and the buyer is emailed what changed.
Can we print name badges?
Download the guest list for the page: it has each guest’s name, their ticket and workshop, and their answers, like organization and job title, ready for your badge printer.
