Commencement guest tickets
Sunday, May 16 · 10:00 AM · The Quad
Free · up to 4 per graduate
Guest tickets, fairly shared
A commencement page offers free guest tickets, up to the number you set for each graduate. Each graduate makes one request: the page asks for their student ID, and checkout turns away a second request with the same ID, so the limit holds without anyone checking a spreadsheet.
The page can ask for the graduate’s name, their school or degree, and whether a guest needs a wheelchair space, a companion seat, a seat near an exit or a view of the interpreter, so your events team can plan the room before the day.
Run a page for each ceremony, and a ticket brought to the wrong one is caught at the door, with the name of the ceremony it’s for. When the guest tickets are gone, the page can take waitlist sign-ups instead, so you know who still hopes for a seat.
If you charge for guest tickets, a reception or a brunch, the same page takes card payments, paid straight into your college’s own bank account under the office’s GL code and fund.
Every guest gets their own ticket
Tickets arrive by email as soon as the request is made, one QR code for each guest. Graduates forward each ticket to the person who will use it, and a screenshot or a printout works at the door.
Want names on the list? Ask for each guest’s name as they’re booked, and the door list shows who each ticket is for. Everyone gets a reminder the day before, and you can email everyone coming with parking, weather or livestream details in a few clicks.
Your team sees every request’s answers in the Studio, accessible seating included, and can download them for the ushers.
A calm day at the doors
Gatehouse, the door app, runs in any phone’s web browser over cellular data, so it works in a stadium, an arena or on the quad, with nothing joining your campus network. Staff sign in on their own phones; volunteers scan with a door link and no account.
If a crowded venue drops the signal, scanning keeps going from the phone’s own copy of the list and catches up when it returns.
Used once, then red
A ticket already scanned turns the screen red, so one ticket can’t bring in a second guest.
Lost tickets
Find a guest on the list by name and check them in, with a reminder to check photo ID first.
When to begin
Stats shows how many guests are in and how many are still coming, as they arrive.
Several entrances
Put a phone at every door. Each scan is checked against the same guest list.
Caps, gowns and the rest of the season
Sell caps and gowns sized by height, master’s hoods, stoles, keepsake tassels and diploma frames on a merchandise page, picked up before the ceremony or shipped. Each order can carry the student ID, so the bookstore can match it to the graduation list. Campus merchandise
Guest tickets, regalia, yearbooks and senior-week events sit together in your college’s directory of events, at your own web address, like tickets.yourcollege.edu.
Questions
How do we limit guest tickets per graduate?
Set the most guest tickets one request can take, and ask for the graduate’s student ID with one request per ID. Checkout turns away a second request with the same ID on the same page.
Can guests who need accessible seating tell us ahead of time?
Yes. Add a question for accessible seating, like a wheelchair space, a companion seat or a seat near an exit. Your team sees each answer in the Studio before the day and can download them.
Does TicketTuck charge for free tickets?
No. Free guest tickets cost families nothing, and TicketTuck never adds a ticket fee to paid tickets either.
What if a guest loses their ticket?
Staff find them on the guest list by name and check them in, with a reminder to check photo ID first. The graduate can also open the tickets again from their confirmation email.
Do we need Wi-Fi at the venue?
No. Gatehouse runs on phones over cellular data, and scanning keeps going if the signal drops in a crowd.
